Information on guidelines for security access to the centrally hosted CUNYfirst and CUNYBuy systems.

Note: This form submission process is only for authorized Business Owners, these are the campus approvers who must sign off on forms before they can be submitted here for ServiceNow processing. IF you have not taken the mandatory training for the particular role you are requesting, Central will reject the forms. Review the training requirements below:

Training information is listed here. Below you will find information on guidelines for security access to the centrally hosted CUNYfirst and CUNYBuy systems. Find here where to get the forms, subject matter experts if you need help determining what roles are needed and where to initially send your completed forms.

Starting May 1st, 2025 forms will be returned that are missing any of the required signatures. It is your responsibility to get all the signatures on the forms and have them properly filled in, this includes the printed names of those who are signing.

Filling Out CUNYFirst Security Access Forms

Each form has very specific information on the form. At the top is generally contact information. The key is for the person who is to receive the requested roles to insure they either physically sign the form or use the "Confidentiality" code. Instructions on how to get this code are clearly on any of the forms requesting this. The forms must also be approved by the immediate manager and the managers names must be on the form or it will be returned. Once the form is properly filled out, save it and add the persons name who the form is for to improve processing. To improve processing, get all signatures on the form.

Where to get forms for the various CUNYfirst pillars

Currently there are over 20 different types of forms for various roles within the CUNYfirst system. The more common forms when onboarding used are Campus Solutions, Procurement and Travel and Expense. Discuss roles with your department head who are responsible for signing off of these forms before they are moved along in the process. Always get the forms from the following link to be sure to have the latest. If the form is not a current form it will be returned. Here is the link to the forms: CUNYFirst

Where to Submit your properly filled out and approved forms

First ensure your form includes:

Requester’s contact information
Signature or confidentiality code (of the requestor)
Manager’s approval (Get the actual signature on the form for faster processing, write the name in on the fields)
All other mandatory signatures from the various campus approvers depending on the form (will be returned if missing)

The campus approvers (Business Owners) Will submit your forms here by doing the following:

Go to the link: YConnect CUNYfirst Portal
Login with your York College credentials
Fill in all the information on the submission form including the name of the form you are using
Attach your form in the form attachment section
Confirm the Acknowledgement

Be aware if you are not a campus approver and you attempt to submit your form here, you will receive an error, the form will be submitted by the campus approver as that is the last stop for the approvals on the form. The form should not stay with you if you are not a campus approver. Campus approvers, please be sure all the information on the form has been filled in properly in order to avoid delays.

CUNYBuy training, enrollment and support sessions access

CUNYBuy Training - (Training must be successfully completed prior to requesting access to CUNYBuy)

To access any CUNYBuy course, you will be required to login to Blackboard using your CUNY login credentials (first.lastname##@login.cuny.edu). To self-enroll into each applicable course do the following:

Under the Red "Access Denied" click “+Enroll” on the left.
Click the Submit button to complete the enrollment.
Click the OK button to proceed to the CUNYBuy course.

If you are experiencing difficulties accessing the Blackboard training, this is not a CUNYBuy issue. Create a ServiceNow ticket with your campus IT and request it be assigned to CIS Training. Contact helpdesk@york.cuny.edu

Advance registration is not required. All are required to have successfully completed the applicable Blackboard training prior to joining these sessions.

Signatures

In order to avoid delays, get all the signatures required on the form. This includes all signatures outside of the requestor and manager. Review the forms carefully, signatures are required by the business owners of each pillar depending on what roles from what pillars are being requested. To know who needs to sign off on your form you can review the "Access Approvers and Subject Matter Experts" list on this page. The more common forms it's either Registrar's Office for any form that deals with student data or the Business and or Budget Office for any form that deals with finance. Forms will be returned if the signatures are not on them starting May 1st, 2025
