Graphics Request Form

In an effort to ensure that the York College brand is consistent and that jobs requested are put in a production queue, the Marketing and Communications department requests you fill out this Graphics Request Form. Please do not fill out this form as a placeholder.

Before design work can be scheduled, you must provide the Design Team with final copy approved by all stakeholders as well as any high-resolution images to be used (7 images can be uploaded). If you have more than seven images to upload for a single job, please send to kbuddy@york.cuny.edu. If you need the Design Team to find images for you, please indicate what you are looking for.

Postcards, flyers, invitations, etc. take roughly 2-3 weeks (1-2 weeks design and 1 week revisions/production). More complex projects like booklets and brochures, could take roughly 3-5 weeks (1-3 weeks design and 2-3 weeks revisions/production).

Print-Ready PDF: Our department will send you a print-ready PDF, not the finished printed piece. Therefore, this schedule does Not include printing time.

You are responsible for scheduling the printing of your own project with Printing Services and they will determine the print schedule. You can submit jobs to Printing Services at printing@york.cuny.edu

Social Media Art: If you request social media graphics, we will design the graphics only. For posting in the College’s social media channels, please contact Tawasi Clarke at tclarke3@york.cuny.edu.

Type of Project: The projects listed under this category require a separate Graphics Request for each. Please do not list several of these projects in one request. Each job requires a different size, template, etc. and therefore must be listed separately. If your project requires multiple interrelated pieces, we recommend you meet with a member of the Design Team before submitting your request.

*Art Specifications: Original high resolution images must be submitted in a digital format, as separate files (jpg, tiff, eps). Do not embed images in a Word document, PDF, PPT, etc.

*Copy Specifications: Copy must be final and have approval of all stakeholders prior to submission. Do not submit MS Publisher, Powerpoint or Canva files. It must be submitted in an electronic Word document. No exceptions.

Routing and Approvals

The project will be routed to the requestor for review and approval a maximum of three times:

  1. Initial layout and text review.
  2. Check any edits made in round 1. Route to all appropriate stakeholders within your department for review and approval.
  3. Final: Provide final approval to release to the files via email. Responsibility for proofreading and final approval resides with the requestor.
